Problem

The financial reports at Omnicom Media Group, particularly in the area of marketing campaigns, were originally managed in highly manual systems such as Excel. This led to time-consuming, error-prone processes, as the data had to be updated and monitored manually on a daily basis. Budget overruns were often recognized too late, leading to unnecessary costs and loss of efficiency.

Goal

The “Digital Overspend” project aimed to modernize these processes through automation to:

  • Ensure real-time data availability to detect overspends faster.
  • Introduce automatic alerts for budget overruns to enable an immediate response.
  • Increase cost efficiency by reducing manual labor.

Implementation:
As part of the **Center of Excellence Automation Hub**, process automation solutions were implemented and rolled out in the EMEA and APAC regions. Onur Kayir acted as Senior IT Project Manager and coordinated the collaboration between the global headquarters in New York and 33 local markets. The measures included:

  • Automated Finance Tracker: Excel-based solutions were replaced with automated systems such as MS Power BI, enabling hourly rather than daily data updates. This enabled the finance teams to react more quickly to budget overruns.
  • Signit project: Developed an internal SaaS solution for 360-degree media planning and document signing, allowing OMG customers and employees to view the status of approvals and missing customer contracts in real time.
  • Process automation management: Integration of automation solutions to reduce costs in global markets, combined with traditional and agile management of IT projects in the EMEA and APAC region.
  • Stakeholder engagement: Intensive collaboration with enterprise architects, lead business analysts and regional senior project managers to ensure successful project delivery and risk management.

Result

“Digital Overspend” and the establishment of the Automation Center of Excellence were transformative projects that revolutionized the financial processes at Omnicom Media Group. Through the use of modern automation technologies and the development of innovative tools such as “Signit”, OMG was able to utilize its resources more efficiently, improve the quality of data availability and create a more stable, scalable company structure. The successful implementation of these solutions strengthened OMG's position in the global market and enabled agile adaptation to changing market requirements.
